# Pupil and staff photographs

> Adding photographs, what formats are accepted, and where they appear.

Photographs can be attached to pupil and staff records. They appear in class lists, on the pupil's record, and — where your report card settings allow it — on printed report cards.

## What is accepted

  200 KB is generous for a passport-style photograph and mean for a photo straight off a phone camera. Crop to head and shoulders and save at a modest resolution — a 400×400 image is more than enough for both the screen and the printed card.

## Photographs are checked, not trusted

EduControl inspects the actual content of an uploaded file rather than believing its name or extension. A file renamed to `.jpg` that is not really an image is rejected.

If an upload is refused, the file is genuinely not a valid image of an accepted type — re-export it from an image editor rather than renaming it.

## Where they are stored

Photographs are held in your school's own private storage, not served openly on the internet. Pages that show a photograph fetch it through a link that expires, so a copied image URL stops working shortly afterwards.

This is deliberate: photographs of children should not be reachable by anyone who happens to obtain a URL.

## Replacing and removing

Uploading a new photograph replaces the old one. Removing a photograph leaves the record intact and simply shows no image.

## Who can do this

Pupil photographs need `edit_students`; staff photographs need `edit_teachers`.
